Moving your YourOfficeAnyWhere E-Mail to another computer


The following process should be used when setting up Outlook 2007 to connect to YourOfficeAnyWhere when the .OST file has been created in advance to prevent excessive download times for large mailboxes or when the connection to the internet is poor. The .OST file has to be created on our system in advance.  If you dont have a VERY large inbox or you have a very fast internet connection then the easiest way to move your mailbox to another computer is to follow the standard setup process http://support.yourofficeanywhere.co.uk/Customer/KBArticle.aspx?articleid=18

NOTE: We cannot use an .OST that has been used with another provider or one that has been used on our legacy Exchange 2003 system.

Exporting a .OST file

If you have a large mailbox and need to move Outlook to a new computer you can copy the .OST file from your current computer and then follow the import process below.  To copy the file you will need either an USB pen drive or if the mailbox size exceeds the capacity of your pen drive an external USB hard disk will be required.

  1. On the old computer make sure Outlook is closed.
  2. Insert your pen drive or external hard drive
  3. Open Windows Explorer and navigate to one of the following folders
    1. Windows XP (C:\Documents and Settings\username\Local Settings\Application     Data\Microsoft\Outlook)
    2. Windows Vista (C:\Users\username\App Data\Local\Microsoft\Outlook)
  4. Select the Outlook.OST file and the select Copy from the right click menu.
  5. Select you pen drive or external hard disk and then select Paste from the right click menu.

 

Importing an .OST file

  1. Close Outlook on your computer if it is running
  2. Insert your pen drive or external hard disk that contains a copy of your .OST file.
  3. Copy the .OST file to the following folder on your computer.
    1. Windows XP (C:\Documents and Settings\username\Local Settings\Application Data\Microsoft\Outlook) If an Outlook.OST file is already present in this folder rename it to Outlook.OLD
    2. Windows Vista (C:\Users\username\App Data\Local\Microsoft\Outlook)

 

  1. Create a new profile using the mail icon in control panel. Do not use Autoconfigure settings as this will create a new .OST file rather than use the one you have copied.
  2. Enter the server details and username details as usual and click the More Settings button.
  3. Servername: YOA-EXVS02.YOA.NETWORK
  4. Username: youremailaddress
  5. Click the Advanced tab and tick Download Public Folder Favorites
  6. Click Offline Folder Settings
  7. Click Browse and select the OUTLOOK.OST file copied in step 2.
  8. Click the connection tab and tick Connect to Microsoft Exchange using HTTP and then click Exchange Proxy Settings
  9. Enter webmail.yourofficeanywhere.co.uk in the Use this URL….. box
  10. Tick On Fast Networks….
  11. Select Basic Authentication from the Proxy Authentication Settings drop down.
  12. Click OK twice and then Next
  13. Click Finish
  14. In the Mail profile selection click Always use this profile and select the profile you created from the drop down box.

 

When you start Outlook you will be prompted for your username and password as normal and your Outlook folders will be pre loaded with all the e-mails.
